Adding Organizers to SWOOP
Click on the People’s section in CLT for your designated event
To grant access to another organizer in SWOOP go to the ORGANIZERS section and select “+ Add an Organizer”
First, make sure to look the user up by their name or email then simply click on the result to add them to the event and you’re done!
If you cannot find a person in CLT the system will prompt you to add a new user and select “+ Invite Someone New”
A screen will pop up, fill in the necessary information then click SAVE. It is vital to use at least a GMAIL or TWITTER account to ensure the organizer has access. DO NOT USE YOUR OWN EMAIL AS IT WILL CREATE LOGIN PROBLEMS FOR YOU
All users in the Organizer section will appear in the Organizer Team in the Community Sites
Adding Volunteers
The purpose of the volunteer’s tab is to grant access to CLT, without users showing up in the Event Pages. For example, if you are part of the organizing team but wish to not publically showcase your profile this would be the best option
Go to the Event Staff Section and select “+ Add Organizer”
Search for the person in SWOOP by their Name or Email
If the person is in SWOOP simply click on their name
If the person is not in SWOOP, click “+ Invite Someone New”
A screen will pop up, fill in the necessary information then click SAVE. It is vital to use at least a GMAIL or TWITTER account to ensure the Volunteer has access.
Voila, the person now has access to SWOOP
Adding Speakers, Mentors, and Coaches
To add a Speaker, Mentor, or Judge go to the prospective section and select “+ Add a (Coach, Mentor, or Judge)”
Search for the person in SWOOP by their Name or Email
If the person is in SWOOP simply click on their name
If the person is not in SWOOP, click “+ Invite Someone New”
A screen will pop up, fill in the necessary information then click SAVE. It is vital to use at least a GMAIL or TWITTER account to ensure the Volunteer has access.
Deleting a Person from SWOOP
The following highlights how a person is removed from the Event page.
Find the person you want to delete
Hover over to the right and select “Remove”
The person has been successfully removed
Rearranging People in the Community Sites
This section highlights how to edit the placement of individuals on the event page
Go to the section you wish to re-order, such as the Organizing Team
Hover over the individual and click and drag to desired position
You will know if it saved successfully if the system tells you “Saved Organizer Order”
Check the event page to see if the changes have been made, it may take up to 20 minutes to see changes made in CLT. Be patient.
How to edit a CL Profile
The following highlights how to edit a profile
Select the “Edit” function over the Actions section in a profile

Select the fields you want to edit

A note on Websites: Ensure that the entire URL is inputted into the field
Eg: www.techstars.com vs techstars.com
SWOOP will not recognize (techatsrs.com) and the event page will generate a broken link

A note on Twitter Handles: Do not add an extra “@” symbol
Eg: Adding an extra @ will result in the following @@twitterhandle

Hit save
